REGISTRATION


Registration for the AAS-in-Asia Conference 2025 to be held in Kathmandu, Nepal, 1–4 June 2025, is now open.

Payment of pre-registration fees is required of ALL PARTICIPANTS on accepted panels. All individuals attending the conference, including individuals accepted to present on panel sessions, are required to submit conference registration payment by the deadline date posted below.

A printed conference program book is available for an additional fee of USD 5 (NPR 690 for participants paying in Nepal) and can be added to your order when completing registration. The program book is not included in your registration fee. Attendees will be able to view the program online or by downloading the free conference mobile app.

Cancellation/Refund Policy

If you are unable to attend and require a refund, the AAS charges a USD 15 administration fee for students, SAARC and Low-Income Country registration and USD 25 administrative cancellation fee for all other registration categories. Any registrant may cancel their registration and request a refund by contacting the AAS in writing to complete cancellation. All cancellation and refund requests must be made in writing by email to: aasinasia@asianstudies.org.

Please note the following deadlines:

  • Session Speakers: All registration cancellations and refund requests must be made in writing by 10 April 2025. A full refund, minus the fees noted above, will be given for cancellations received by this date. This applies to ALL speaker roles including, Organizers, Chairs, Presenters, or Discussants. Refund requests from participants received after 10 April 2025 will not be granted.
  • General Conference Attendees (non-speakers): If you have paid the registration fee and are unable to attend, the deadline for a general conference attendee (not participating in a formal session) to request a refund and cancellation is 15 May 2025.

After 15 May 2025, no refunds will be issued for cancellations of any type.

Substitutions

A substitution of your full paid registration to another individual is permitted prior to the conference. Please contact the AAS with a written request by 15 May 2025. Note- the registration is only transferable to an individual who is currently in the same membership category (member to member, student to student, etc.) and registration category. Badge sharing, splitting, and reprints are strictly prohibited.

Important

The names of panel participants WILL NOT appear in the printed Conference Programme Book unless participants are pre-registered by 21 March 2025 participant registration deadline. No refunds will be given for participants withdrawing after the deadline date (see above). We suggest all participants in need of financial assistance from their institutions or other sources, and/or those participants needing to complete a visa application, to begin the process immediately if you have not already. The AAS cannot make exceptions for refund requests, including those submitted based on denied funding and/or visa applications. Pre-registration information has been sent to all participants at the time their notification of their acceptance to the programme. Participant members must pre-register at the member rate (see above). Participant non-members must pre-register at the higher non-member rate (see above).

THERE ARE NO EXCEPTIONS IN REGARD TO THE PRE-REGISTRATION REQUIREMENT FOR PARTICIPANTS.

CONFERENCE CODE OF CONDUCT

By registering for the conference you are agreeing to abide by the Conference Code of Conduct:

AAS is committed to inclusion, equity, and respectful treatment of all conference participants and seeks to provide a safe and professional atmosphere in which attendees may learn, network, and participate in a welcoming environment of mutual respect. All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, AAS staff, service providers, and all others, are expected to abide by this Code of Conduct. This applies to all AAS meetings and events, including those sponsored by organizations other than AAS but held in conjunction with AAS events on virtual, in-person, public, or private platforms. Conduct that is prohibited includes:

• Harassment, intimidation, threatening speech, or discrimination in any form, including (but not limited to) relating to race, gender, gender identity and expression, national origin, religion, disability, physical appearance, veteran/military status, marital/partner status, parental status, age, sexual orientation, inappropriate use of nudity and/or sexual images in presentations, or any other protected category.
• Sexual harassment or intimidation, including unwelcome sexual attention, stalking (physical or virtual), or unsolicited physical contact.
• Physical violence, yelling, or other threatening behavior.
• Disruption of presentations during sessions, in the exhibit hall, or at other events (in-person or virtual).
• Use of a recording device (personal computer, mobile phone, camera, etc.) to capture images or presentations, chats, demonstrations, etc., taking place in-person or virtually during the annual conference.
• Presentations, postings, and messages that contain promotional materials, job offers, solicitations for services, or product announcements during virtual presentations.
• Making copies or taking screenshots of Q&A or any chat room activity that takes place in the virtual space.

Participants asked by anyone, including session chairs and participants, to stop engaging in hostile or harassing behaviors are expected to comply immediately. AAS reserves the right to take any action deemed necessary and appropriate, including immediate removal from an in-person or virtual event without warning or refund, in response to any unacceptable behavior, and AAS reserves the right to prohibit attendance at any future meeting or event, virtually or in person. If you witness or are subjected to inappropriate behavior, please contact us promptly at hvfinchum@asianstudies.org.
