On registration and conference participation

Are there travel/participation grants available for conference participants?
No, there are no grants/funding available for conference participants at the moment.

Can the conference registration fee be waived?
Unfortunately, there is no provision to waive or reduce the conference fees.

How much do I need to pay to register for the conference?
All information regarding different tiers of registration fees can be found on the AAS-in-Asia 2025 registration page.

Where can I stay during the conference?
Accommodation is available at the four conference hotels—Radisson Hotel Kathmandu, Dusit Princess Kathmandu, Hotel Manaslu, and Hotel Tibet. There are also many other hotels within short walking distances of the conference venue. Further information regarding suggested accommodation can be found in Accommodation in the AAS-in-Asia 2025 website.

How can I pay my registration fees with a credit card?
You may pay by credit card by clicking here.

Are there any special rates available at hotels for the conference participants?
No, there are no special hotel rates available for conference participants.

What type of visa do conference attendees need to come to Nepal?
You can enter Nepal on a tourist visa to attend the conference. Further information regarding visa is available at the Visa Information page in the AAS-in-Asia 2025 website.

Can I register on behalf of someone else?
Yes, you may register on behalf of someone else.  You can add additional persons (via the group registration button), which will appear at the end of your registration process (before payment).

Is it possible to pay the registration fees of all participants in the panel collectively?

What does SAARC regular attendee mean?
SAARC regular attendees are non-student attendees belonging to countries of the SAARC region. Please note that while India is also listed among Low/Lower-Middle Income Country, as a member of a SAARC country, Indian nationals can avail of the SAARC rate for registration.

On the submissions

Can I add a co-chair to my panel?
Only one chair is allowed per session;  there are no co-chair roles. We allow for the inclusion of a chair where one does not currently exist.

Can a single-authored presentation be adjusted into a co-authored presentation?
No, paper presenters not included in the original proposal cannot be added.

Can a new participant be added to the accepted panel?
New paper presenters not included in the original proposal cannot be added, nor can they replace the original paper presenter.

How can I obtain an invitation letter for the conference?
If you are a speaker at AAS-in-Asia 2025,  you can download your invitation letter directly from the Speaker Resource Center. Details on how to access the Speaker Resource Center has been provided in the email sent to speakers on 17 January 2025 with the subject line: ‘AAS-in-Asia 2025 Registration and Speaker Center Now Open’.

Can I update or correct my email address in Cadmium/ AAS records?
Yes. Please write to aasktm@soscbaha.org requesting the change.

When will the schedule for AAS-in-Asia 2025 be released?
The schedule will be available on the Programme Page when ready. Speakers will receive an email informing them of the same.

Will I be blacklisted by AAS-in-Asia for failing to attend the conference?
No, you will not be penalised/blacklisted for not attending the conference.

What is the format of this conference?
The AAS-in-Asia 2025 Conference will be held in person in Kathmandu, Nepal. All sessions and events will take place in person, and there will be no virtual component. All presenters are expected to attend and present in person.

What is the language of presentation at AAS-in-Asia 2025?
The main language of presentation is English. However, presentations in vernacular languages are also allowed as long as there is someone on the panel who can translate simultaneously. It is recommended to include visual aids with the main points of the argument in English to help the audience follow along. Please note that the organizer will need to take translation time into consideration when allotting time to each speaker, and also at the end for the Q&A.
